JOB TITLE: Project Manager (FTC)



REPORTING TO: Head of Project Management



DIVISION: Operations - Consultancy & Project Management



TYPE: Permanent - Fixed term contract



NORMAL HOURS: 9am to 5pm (and as required to fulfil job requirements)



SUMMARY OF THE ROLE:


Working as the project lead on implementation and renewal projects, providing project management to the clients and support to the project delivery team. Take ownership and responsibility for the delivery of all services within the project in accordance with timescales agreed, except for the detailed client communication deliverables.



MAIN DUTIES:



  • Project manage employee benefits and/or incentive & recognition schemes.

  • Manage the project, in line with the project methodology, including project initiation meeting/call, identification and documentation of project scope and objectives, creation of project plan and project toolkit, project progress calls, update of actions, decisions log and testing.

  • Guide clients through the implementation of their employee savings, CCS portal, generic incentive & recognition, online payslips or benefits management scheme or the renewal of their flexible benefits or total reward system, providing guidance on client admin processes, our admin process, benefit provider admin processes, our system solution, our products and services.

  • Discuss and agree the specification and rules, and work with the client to document the scheme design.

  • Manage the scope of all projects to ensure we deliver what is in scope and where the client requires additional items, apply change control processes to agree impact of timeline and fees.

  • Work with clients to help them to define the schemes rules and ensure their scheme meets the objectives outlined at the beginning of the programme, then agree and document the scheme design

  • Identification, specification and documentation of all data interfaces including payroll and benefit providers.

  • Review and documentation of all processes as they relate to the provision of our services.

  • Manage all acceptance testing to ensure the solution meets the agreed design.

  • As required prepare an end of project debrief and ensure a project closure meeting or call takes place and feedback is provided.

  • Oversee the client communications and ensure the Comms team deliver as per the agreed timescales.

  • Work with the account management teams and key account management teams to build and maintain a strong relationship with the client contacts during the project, and then hand over client to the appropriate team, after completely the necessary briefing once the project has finished.

  • If ad hoc project requirements are identified, the scope, delivery dates and resource should be defined, and a change control drafted to enable the account manager to obtain agreement from clients before proceeding with work


KNOWLEDGE & SKILLS:



  • Must have excellent project management skills

  • Experienced in managing a portfolio of clients

  • Ability to work accurately, consistently and in a timely manner

  • Commitment to quality customer service

  • Ability to work under pressure and as part of a team

  • Experience and knowledge of the incentive and motivation and/or employee benefits marketplace is an advantage
