Research Administrator - Higher Education

Our client, based in higher education have an ideal opportunity for a research-interested administrator with strong office administration skills to provide comprehensive and high-level administrative support for the team of academic staff, 3 research staff and 3 PhD students.

The post holder will have the opportunity to work closely with the other members of the professional services team including the Department's Business Manager and Research Coordinator on broader department-wide initiatives in order to ensure it is run well in compliance with the organisation's procedures.

  • Pay: £15-£15.74 per hour

  • Duration: Ongoing

  • Hours: Monday-Friday, 35hrs per week

Job Description

The administrator will provide research support and be a point of contact for the activities and will work closely with the team to aid the smooth running of research support.

  • Organising and administering monthly meetings - preparing presentation materials, taking minutes, distributing papers and drafting agendas.

  • Establishing and maintaining effective administrative systems, relevant to each project, and regularly review these procedures with a view to providing a more efficient service.

  • Maintaining oversight of grant funding during project implementation, alerting overspends and underspends.

  • Monitoring and reporting to the project leader and investigators on agreed project outputs.

  • Organising travel and conference arrangements; arranging travel for researchers and project participants; processing reimbursement of travel expenses.

  • General office organisation, including filing, photocopying, library searches, dealing with room bookings, teleconferences and catering orders.

  • Ensuring that proper records of research applications are maintained and contributing to the preparation of quarterly reports of grants, contracts and project funding.

  • Working with the department Research Coordinator to support members in new grant applications; obtaining costing from IoPPN RG&C and liaising with partner institutions for theirs; inputting information to online grant submission forms; assisting with obtaining institutional approval and submission.

  • Developing and maintaining web pages; routinely refreshing content, particularly regarding news, events and Impact; promote research and help enhance the external profile through other forms of media.

  • Assisting the department Research Coordinator with the recruitment, financial administration extensions and redundancies of fixed term research staff contracts.

  • Act as a first point of contact for telephone and email enquiries.

  • Communicate and build working relationships with a large number of senior academics and researchers.


  • Excellent organisational skills

  • A meticulous eye for detail and able to keep accurate records

  • Excellent oral and written communication skills

  • Ability to multi-task, balancing competing priorities under pressure of deadlines and workload.

  • Ability to work independently and proactively with minimal supervision.

  • Previous experience of developing and updating website content.

  • Good IT skills, including proficient in the use of MS Office.
