The sales administrator

This position is such an important role. The role is to carry out sales order processing, import and export processing and general Admin duties.

To ensure schedules are entered accurately on to the order bank and to ensure schedules are pulled from EDI (Electronic Data Interchange) and internet in line with customer issue frequency.

Liaise with Internal Account Manager to notify of any major increases or decreases to customer schedules without agreement.

Ensure timely processing of import documentation for clearance of shipments and ensure timely despatch of customer requirements.

Key Tasks

  • To carry out all sales order processing i.e. entering of customer schedules onto order bank and liaising with customers regarding any short term changes that are not acceptable.

  • To ensure timely receipt of customer schedules via EDI (Electronic Data Interchange) and internet for loading to the order bank every week.

  • To process import documentation and follow up with delivery information for the rest of the business.- Export shipping , Export documentation

  • Timely booking of transport in line with the correct collection date to meet the customer delivery requirement, either via the customer portal or other agreed method.

  • To provide information to production regarding customer demand for exact shipping date to ensure OTIF (On Time In Full) delivery.

  • To liaise with production to provide delivery information to the customer.

  • To enter ASN data on customer portals where required.

  • To create export office documentation when required for shipping samples etc.

  • To book out and ship prototypes as in accordance with instruction from engineering.

  • To support the Internal Account Manager with general administration duties.
