Adecco are currently recruiting for an experienced secretary to temporarily join the team of our client based within the health care sector.


The main duties of the role may include:



  • Provide administrative support and advice, including the standardisation of documents, the preparation of agendas and minutes, taking appropriate follow-up action as required, supporting with the management of projects, liaising with project leads to ensure deadlines are met, gathering information and responding to enquires as and when is necessary on behalf of the Programme and project leads

  • Provide administrative support and advice to support the delivery of the workstreams as required

  • Take clear and concise Board level minutes, including the initial preparation of formal agendas

  • To provide personal administrative support to key leaders, including diary management, preparing papers, and arranging travel with a coordinated approach

  • Liaise with people in a sensitive manner and ensure all information is communicated in a timely, professional, and accessible way

  • Assist the Programme Office Manager in undertaking their duties efficiently and to help effectively manage workload and maximise the efficient use of time

  • The post holder will plan and organise their own workload sensitively to ensure key deadlines linked to the role are met

  • Taking telephone calls for the team when out of the office and use initiative to deal with phone calls and messages

  • Running and collating regular performance reports including liaising with key individuals, ensuring deadlines are communicated and met and reports formatted and analysed appropriately, setting deadlines to senior leaders to undertake tasks and communicate to stakeholders at all levels to ensure these deadlines are met and understand the reasons why if not on behalf of the senior leadership team

  • Act independently with less contact from manager, using own initiative following organisational policy and managing own workload

  • Managing the electronic diary for the team, including arranging and changing appointments, prioritising these as appropriate

  • Undertaking administrative duties such as photocopying, faxing and mail-out distributions

  • Ensuring all urgent and/or confidential communications are received and distributed from/to relevant parties in a timely manner

  • Supporting teams in project management and participating in department events

  • Inputting, monitoring and checking data, required for finite and ongoing projects within the teams

  • Working with all team members in the collection of information for performance reporting on relevant team projects

  • Acting as a point of contact for teams, dealing and responding effectively with complex queries from stakeholders and passing on relevant information to appropriate team members sensitively and autonomously

  • Supplying the relevant information required for financial management, supporting the head of department and teams by checking and sending invoices for payment

  • Developing and maintaining effective electronic and paper filing systems, to ensure that information is kept securely and is accessible to other members of the team

  • Working together with colleagues within the organisation to provide an effective network of communication including dealing with visitors to the base and being flexible to cover other administrator's general duties on the base

  • To carry out other appropriate delegated duties as required



This is a temporary position to begin ASAP and last initially until the end of December, with the potential to extend.


The successful candidate should have experience within a similar role and possess the ability to arrange meetings and minute to a high standard.
