MailaDoc's customers include individuals, businesses and government organisations and sales may be domestic (within the UK) or international, or a combination of both. The assistant order executive provides administrative support to the order executive to ensure an efficient operation of the department. The job scope includes communicating via phone and email ensuring that all administrative duties are completed accurately and delivered with high quality and in a timely manner. The target is to ensure excellent service standards and maintain excellent customer satisfaction. On-the-job training is a good way to discover how to do the job better, so you should have willingness to learn and improve. Being a team player is essential since all tasks will require close collaboration with co-workers.


  • answer telephone and handle or re-direct calls accordingly

  • transfer new and update existing data relating to customer requests / orders

  • gaining a clear understanding of customers' businesses and requirements making accurate, rapid cost calculations and providing customers with quotations

  • maintain filing system

  • provide general support to visitors

  • build sustainable relationships of trust through open and interactive communication

  • follow communication procedures, guidelines and policies

  • presenting our service favourably and in a structured professional way

  • responding to incoming email and phone enquiries

  • advising on forthcoming product developments and discussing special promotions

  • liaising with suppliers to arrange and maintain competitive costs and checking the progress of existing orders


  • proven admin or assistant experience

  • previous client service experience

  • knowledge of print and mailing industry experience preferred with an understanding of production procedures

  • excellent communication and presentation skills

  • customer orientation and ability to adapt/respond to different types of characters

  • a positive, confident and determined approach

  • a high degree of self-motivation and ambition

  • the skills to work both independently and as part of a team

  • a good level of numeracy

  • basic understanding of databases however full training given on in-house software

  • proficient in MS Office Suite

  • adherence to health and safety regulations

  • analytical skills

  • attention to detail to ensure high levels of quality

  • the ability to work in a logical, systematic manner sometimes under extreme pressure
