Main Purpose of Job:

� To assist the Corporate Services Manager (CSM) in matters relating to the corporate services and facilities provision in the organisation and taking on particular delegated areas of responsibility under the oversight of the CSM - Insurances, vehicles, storage/archive premises, transition of named services.

� To coordinate and update the Services and Facilities administration and record keeping, including supply of information and reporting to aid decision making in the wider organisation

� To provide guidance and respond to queries from managers and staff with advice and assistance as appropriate.

Key Responsibilities

  • Insurances in place and up to date. Log, track and keep up to date insurance documentation across the whole charity. Assist in the identification and implementation of a suitable system/ database to capture insurance and contracts throughout the charity, training staff to keep this updated regularly. Ensure trips and events are correctly insured.

� To oversee the administration of Vehicles/details and driver/details identified in data spreadsheets. Keep up to date with current legislation and provide updates, training as required throughout the charity. Arrange hire vehicles for employees when needed.

� Oversee the administration of archiving. To administer, coordinate and record archiving for the organisation, ensuring policy, procedure and confidentiality is maintained at all times and in accordance with GDPR requirements.

� Property administration including updating data spreadsheets, lease memos, premises issues, keeping service contracts updated keeping track of notice periods in line with SLA end dates & Assist CSM in the ESOS review due 2019

� Transition of services into and out of the charity, making site visits, taking photographs and completing schedule of conditions.

� Equipment procurement for services and offices.

� Administration, including data recording and information provision.

� Health and Safety - supporting the CSM with Health and Safety tasks such as following-up on audits, landlord forms and linking with the insurance. To lead/assist on tasks relating to Health and Safety as appointed by CSM. To minute the Health & Safety panel meetings and submit to chair of panel for approval of circulation to members.

� Work with IT to arrange for new phone lines to be installed in some new sites and overseeing the payment and cancellation of phone lines as services change.

� Cover the Central Office Welcome & Support role when needed for lunch cover, post cover & annual leave.

� Manage day to day Facilities queries for the team and allocate to colleagues where necessary.

� To take on any Rushden Office queries raised by Central Office team that have been escalated by Central Officer Welcome & Support.
