Role



They will be reporting directly to our Chief Operational Officer (COO) and the role will be two-fold with responsibilities covering both reception and the office in general.



They will be:



Reception:



  • Main person responsible for answering company calls

  • Manning of the reception, signing in process and looking after guests with drinks

  • Management of the meeting room booking system and resetting rooms after each meeting

  • Maintaining a high standard of tidiness and cleanliness within the office at all times

  • Booking couriers and taking delivery of parcels

  • Management of post, incoming and outgoing



Office:



  • Day to day liaison with the building manager and landlord if any issues arise

  • Reviewing all office contracts on an annual basis to ensure cost effectiveness

  • Arranging new contracts for couriers as and when required

  • Recording office expenditure and managing the budget for all elements to include, but not be restricted to:

    • Stationary

    • Providers of office services

    • Couriers



  • Hire of office cleaners and overseeing standards

  • Organising the layout

  • Managing the front of house

  • Maintaining supplies of stationary

  • Maintaining milk and food supplies

  • Ensuring all office equipment is in good working order and when necessary, arrange repairs

  • Purchasing of supplies required for office machinery

  • Management of mobile phone systems and land lines in conjunction with the IT Manager including negotiating contract renewal

  • Responsible for arranging office PAT testing



Admin:



  • Managing the COO's calendar on a day-by-day basis

  • Giving ad hoc support to the administrators of the various operational teams.




Skills:


Must have:



  • Good knowledge of Microsoft office packages.

  • Knowledge of Adobe and PowerPoint would be advantageous

  • Must be able to manage time efficiently and to create own workload

  • Excellent English - written and spoken

  • Must be computer literate to learn new web-based packages and apps

  • Training will be given for our bespoke inhouse software - Deltek PIM



Hours of Work:



  • Monday to Friday 8am to 5.30pm
