Key Accountabilities



To carry out the directions of the service manager and provide consistent and excellent service to customers and engineers.



General Duties




  • Provide excellent customer service at all times via phone and email

  • Dealing promptly with servicing issues

  • The accurate input of customer invoices and quotations

  • Updating of databases and customer portals

  • Following queries through to a conclusion

  • Work thoroughly within the company systems and guide lines and use all operating procedures

  • Liaise with other departments

  • Dealing with engineer parts requests

  • Answering queries and information requests over the phone

  • Communicating with engineers and clients

  • Keep up to date with the products and services

  • To be proactive in resolving customer issues involving other departments where necessary



Person Specification



The service department administrator will be enthusiastic and have the personal desire to deliver outstanding customer service whilst demonstrating the attitudes and behaviour expected by the company




  • Strong customer focus, passionate about the service we provide

  • Has gained relevant experience in a servicing/customer service administration role

  • Attitude, decisive with the desire to make things happen

  • Resolve daily issues and priorities, shows initiative

  • Keen to take ownership and be proactive in improving efficiency and performance

  • Credible and confidant with customers, suppliers, sub-contractors, staff colleagues and engineers

  • Has a strong confident personality with excellent communication skills

  • Enjoys working in a team, who likes to engage with and support colleagues

  • A hands on structured and well organised approach, focusing on daily disciplines as well as monthly targets and deadlines

  • Diligent and has a keen attention to detail. Work is precise and avoids administrative oversights

  • Able to effectively multi task and handle periods of high work load.
