Talent Acquisition Coordinator

The Talent Acquisition Coordinator will own creating an exceptional Mars and recruitment experience for our candidates and hiring managers, by supporting the coordination and execution of the Talent Acquisition process across all segments in the UK.

More specifically, the Talent Acquisition Coordinator will support interview scheduling, interview logistics, documentation processing, pre-boarding and handover to MyP&O. As one of the first points of contact with prospective candidates, this role is key to conveying Mars as a top employer and enhancing the Mars employer reputation.

Pay: £14 ph.

Part-time, 3 days per week preferred.

Remote working.

June - end of the year 2022.

Key Responsibilities.

  • Serve as a first point of contact to prospective candidates throughout the requisition process and provide relevant information

  • Drive interview and panel scheduling (both candidate and interviewer) and manage calendars

  • Format candidate documentation and applications

  • Own follow up to candidate questions and support candidate communications over the course of the recruiting process

  • Work with agency partners and provide recruitment process and logistic information support

  • Serve as a Mars ambassador throughout the recruitment process

  • Liaise with Line Managers throughout the screening and selection process to ensure logistics are well managed

  • Identify areas for improvement and communicate suggestions to the team

  • Support cross country and segment country TA harmonisation and standardisation to ensure that the global recruitment process is deployed in alignment with local legal requirements

Context and Scope.

  • Work closely with recruitment team to enhance candidate experience through the recruitment process

  • Coordinate candidate initial screen, video/ phone screen and schedule interviews for the talent acquisition team, including panel member schedules

  • Provide all necessary information to candidates in advance of the interview (travel information, interview schedule, additional application requirements, etc.)

  • Manage and file candidate paperwork, including full contract management, offer letters, new hire documents, and background checks

  • Build a strong Mars employer reputation throughout the recruitment process

  • Coach hiring managers on the Mars recruitment philosophy, policy, and process

  • Provide timely and accurate candidate status information to all hiring managers and ensure they are well-informed at each step of the recruiting process

  • Monitor the accuracy of candidate documentation in the applicant tracking system

  • Identify opportunities to improve scheduling and logistics efficiency

  • Effectively use all Talent Acquisition systems, tools, and programs provided by the global Talent Acquisition CoE to ensure alignment with Mars Inc. strategies and roll-up into Mars Talent Acquisition metrics

Education & Professional Qualification:

Minimum qualification: Completed vocational training, preferably in HR or Business Administration

Preferred qualification: Combination of education and work experience in HR with internal and external candidate contact (preferred but not mandatory)


  • Experience of administrative roles, ideally within HR

  • Strong computer skills, PC with experience in Outlook, Windows, Excel, PowerPoint and other applicable Talent Acquisition technologies & software (e.g. ATS systems)

  • Experience working in a highly collaborative team environment

  • Ability to maintain positive attitude and composure in a high pressure and tight deadlines in a fast-paced environment

  • Strong work ethic and excellent follow-up skills

  • Strong customer-centric orientation

  • Strong written and oral communication skills

  • Excellent organisational skills and exemplary attention to detail

  • Ability to multitask in a fast-paced environment

  • Strong interpersonal skills with the ability to build relationships
