To provide a comprehensive and confidential secretarial service to a team of professional staff within the Adult Forensic Service

To be responsible for managing senior staff's time in terms of planning and organising their day to day activities.

 To be pro-active and ensure all information required by the team is readily available as and when needed.

 To work with the team on project work, providing an administrative service to include the co-ordination, planning and organising of tasks, and action where appropriate.

 To provide a full range of secretarial and administration duties:

 Audio and copy typing using word processing

packages, including correspondence, reports, letters etc.

 Filing and retrieval of information and correspondence

 Maintain appointment diaries and arrange visits, courses, conferences meetings as required.

 Opening, stamping and distribution of mail.

 Routine clerical duties which include archiving, scanning, filing, photocopying, disposing of confidential information.

 Input various data onto a computerised patient information system and provide reports as required.

 To develop and maintain office systems including filing system, priority work trays, brought forward file, message taking and postal arrangements.

 To service meetings and circulate papers upon request of the team.

 To take telephone calls for the team upon request and action enquiries as appropriate.

 To ensure that all work is completed to agreed deadlines by using effective time management systems.

 To assist with the requisitioning and maintenance of stationery and office equipment supplies for the Department in line with Trust ordering arrangements.

 As part of the A & C team, attend regular staff meetings and work in compliance with A & C local and Trust standards.

 To be responsible for setting up and maintaining files in good, consistent order in line with the Paper light Agenda.

 To report and progress chase requests to Facilities and Computer Services for repairs/maintenance and new works.

 Record attendance for payroll purposes onto SMART system, and deal with associated queries.
