General administration support to the Deputy MD

� Answering the phone including dealing with and queries for the Deputy MD, dealing with customers including awkward ones when relevant staff are unavailable.

� Welcoming visitors when necessary providing them with refreshments if required.

� Ordering couriers and taxis when required

� Dealing with managerial queries with regard to supplier deliveries, pricing etc.

� Maintenance of Supplier Price Lists & catalogues for Managers.

� Arranging appointments for visiting Sales reps and Deputy MD.

� Log sales leads and tenders and distribute as directed, and progress with relevant sales person/project manager

  • Preparation of Contract quotations - both those using "given" figures from contract managers and "mark-up" quotations & tenders.

� Approve TNT, Parcel Force, Courier Systems and all stationery invoices

� Placing adverts when required for positions vacant on various job boards. Taking initial call from candidates, vetting as required and arranging interviews.

� Booking travel and accommodation as and when required

� Responsible for Photocopiers, Fax machine, Franking machine, telephone system within the office

� Reporting and calling our engineers for any faults for office equipment

� Taking minutes in meetings ( Action points)

� Sending out quote requests to manufacturers

� Liaising with Clients, Project Managers regarding ongoing and new projects on behalf of the Deputy MD

� Collate Sales Reports on each project

� Monitor Sales Team diaries and performance.

Adhoc duties:

� Additional Duties as and when requested by any Company Director

� Covering other departments when necessary

  • Entering "agreed" quotes (i.e. confirmed by sales order or other instruction) on to network system

  • Preparation of Purchase Orders on network system, ready for authorisation by Contract Manager and Director. Ensuring that these match up to supplier quotes and order acknowledgements as necessary. Sending these to Suppliers as necessary.

� IT literate - Microsoft Word, Excel and Outlook.. .

� Proactive approach ability to use own initiative

� Ability to work in a fast paced environment

� Experience of collating information and producing reports

� Excellent communication skills both verbal and written

� Strong administration experience.

� Excellent organisational skills

� 20 days +BH
