Job title: Team Administrator / Personal Secretary
: Hybrid working - Office based in Westminster. 2 days a week in the office.
Start date: ASAP
Duration: 3 months
Hours: Monday-Friday, 37 hour week
Salary: £11-14phr

This position is in place to aid the smooth running of the office, ensuring a high quality, professional level of support to the chairmen. The work is varied and can be demanding, requiring good judgement and organisational skills. The role often involves working to tight deadlines, but it is also interesting, challenging and engaging.

Your main duties will include, but not be subject to:

  • Admin duties for the team

  • Developing a good working relationship with all executives and non-executives in the team; working closely with other PSs

  • Creating travel and accommodation arrangements and other meeting arrangements when required

  • Managing meetings - draft responses to invitations and liaise with a wide variety of people both in writing and verbally internally and externally to arrange meetings. Also arranging agendas, commission briefing, circulating papers, take minutes and circulating meeting actions

  • Manage the flow of information in and out of the office, dealing with it in a sensitive and timely manner, and ensuring confidentiality as appropriate

  • Overall responsibility for the diaries, ensuring that meetings are arranged in a timely fashion and travel and other logistical arrangements are in place

  • To actively contribute to the work of the business more widely e.g. cover for staff absences, support with adhoc projects

Required knowledge, experience, and skills

  • Having a valid DBS check would be highly preferable

  • Previous Personal Assistant/Personal Secretary experience

  • Proficient in the use of Microsoft 365, including Word, Excel and Powerpoint

  • Proven experience of communicating to a high standard both verbally and in writing, including responses on behalf of senior staff

  • A high level of planning and organisational skills, including the ability to prioritise effectively and work to tight deadlines

  • Good interpersonal skills, including proven ability to act with discretion and tact

  • Ability to work as part of a team and support other team members

  • Demonstrate a high level of initiative and pro-activeness
