An incredible opportunity has arisen for an energetic and motivated Team Assistant to join our clients' wonderful and central offices, based in the West End. The ideal candidate will be a strong communicator, with a positive energy and a strong work ethic.


  • Answering incoming switchboard calls

  • Meeting and greeting visitors to the London office

  • Managing a variety of computerised booking systems within the office i.e. meeting rooms, a-v equipment, conference calls, etc

  • Organising couriers, taxis and other travel arrangements

  • Directing office deliveries as necessary

  • Ordering Office supplies: toners, copier paper, stationery, presentation covers & backs, soft drinks, teas / coffees, milk / juices etc

  • Clear Desk office sweeps

  • Making travel arrangements through our dedicated Travel Agency representative

  • Presentation support - amendments, duplication, binding of PowerPoint presentations and proposals

  • Holiday/sickness cover for Senior PA's

  • Assisting with adhoc administration tasks when requested and time permits

  • Dealing with general enquires: Out of hours access assistance, Air conditioning, Heating, Lighting

  • Ensuring that photocopiers, printers and fax machines are kept stocked with paper and the areas are kept clean and tidy.

  • Responsibility for ensuring that the office is kept clean and tidy at all times paying particular attention to reception and meeting rooms.

  • Setting up coffees/lunches, ensuring that meeting rooms are cleared immediately after vacation, making coffees etc. for visitors.

  • Ensuring that the kitchen areas are kept clean and tidy and stocked with coffee, fruit, etc.

  • General errands - e.g. delivering documents to Clients

  • General assistance as and when required during the graduate recruitment season.

  • Scanning and selecting CVs

  • Booking interviews

  • Responding to candidates queries

  • Meeting and greeting candidates

  • Organising travel expenses

  • Mail merges, posting articles on LinkedIn.


  • Attention to detail, organised with strong initiative and a confident approach

  • Professional and polished telephone manner

  • Energetic but calm under pressure.

  • Proven ability to work in a team environment

  • Proficient MS Office 2007 Excel, Powerpoint, Word, MS Outlook including both calendar & e-mail

  • Core hours are 9-6, but must be flexible in working hours from time to time
