Overall Purpose of Job



Responsible for all Council vehicles being available for their scheduled service and maintenance checks, liaising with all Council service users /areas as required.



To have the background knowledge to be able to provide quality technical & specialist support to Green Fleet Management Services ensuring processes and procedures are delivered in a timely and efficient manner.



Deal with enquiries from the Public and Council members/employees in a manner that embraces the principles of customer care, providing technical clarification regarding vehicle repairs & maintenance.



Responsibility to keep all vehicle records fully compliant & updated on all the relevant business systems.



Key Tasks and Accountabilities




Key tasks and accountabilities are intended to be a guide to the range and level of work expected of the post holder. This is not an exhaustive list of all tasks that may fall to the post holder and employees will be expected to carry out such other reasonable duties, which may be required from time to time.




  1. Responsibility to ensure all Council vehicles are available for service and maintenance checks in accordance with the planned service schedule, in line with Council's "O" Licence requirements.




  1. To book all vehicles in to fleet management system, asking technical clarification questions to customers, raising accurate job sheets, consistently liaising with workshop supervisors on progress.




  1. To be responsible for maintaining accurate records of technical job sheets for the Green Fleet Workshops in accordance with statutory requirements and to ensure the basis exists for the future recharging of works to internal and external partners via Workshop database.




  1. To be responsible for collating workshop productivity data on a weekly basis and present data in agreed format for reporting to Senior Management.




  1. Responsible in receiving customers to the MOT test station, dealing with any customer enquiries and responsible for customer's health and safety during their visit. To be totally responsible for all financial aspects of the MOT test centre operation, including collecting fees, via either cash or card payment via Paris system, to a provide receipt, to also ensure fees and charges are securely stored. Responsible for the security, accounting & management of the weekly/monthly banking of fees and charges, as required.




  1. Responsible for raising External company clients invoices for MOT tests & any other External servicing and repairs invoices in accordance with terms of business. To be able to discuss and deal with any technical or specialist related enquiries from clients.




  1. Responsible for the raising of Order numbers, invoices, credit notes and journals arising from charges, utilising the corporate finance debtors system.




  1. Responsible for all compliance and legal paperwork to be accurate & attached to fleet management system.




  1. To send compliance paperwork & produce reports for both internal & external customers.




  1. Responsible to provide quotations to customers, along with technical advice, ensuring accurate costs for parts & labour are included.




  1. Responsible on daily basis to update service users/clients/members areas & customers on progress & lead times on update for vehicle repairs.
